Invoice template for coaches.

Coaching invoices are simpler than most - fewer line items, more package-based pricing. The tricky part is making sure the invoice reflects the structure of the engagement (sessions vs months vs program) so the client knows exactly what they're paying for.

What this template includes

  • · 4 sample line items for coaches
  • · Recommended payment terms
  • · The #1 invoicing gotcha for coaches
  • · Real rate-range data for 2026

Sample line items for coaches

The line items below are the shapes most coaches use. Copy them, adjust to your scope, fold them into the invoice format your accounting tool spits out.

DescriptionQtyRate
Executive coaching package - 6 × 60 min sessions over 3 months1$4,200 flat
Async voice memo support - between sessions1$0 - included
Mid-program assessment + written feedback1$0 - included
Additional session (out of package)1$650 flat

Recommended payment terms

Coaching packages are typically prepaid in full OR split 50/50 (start + midpoint). Net 7 from invoice. Avoid post-program billing - collection rates drop significantly once the work is done.

The gotcha most coaches miss

Cancellation and pause policies are the coaching invoice's hidden quicksand. Spell out: 'sessions must be used within 4 months. Cancellations under 24 hours are billed in full.' Without this you'll spend half your time rescheduling and losing revenue.

Typical rates for coaches in 2026

Career and life coaches charge $150–$400/session. Executive and business coaches charge $400–$1,500/session. ICF-credentialed coaches at the high end command $1,500+/session and structure packages at $10,000–$50,000+.
